Hosted by: Taha, Trainer at Contractor Foreman

Topic: Cash Flow, Invoicing, and Payments — Staying on Top of Billing in Contractor Foreman

Webinar Description

In this advanced training session, Taha draws on his experience as a remote construction project manager to address one of the most common financial pain points in contracting: losing track of what’s been billed, what’s been paid, and whether the money coming in is keeping pace with the money going out.

Taha opens by framing cash flow as one of the biggest risks in the construction business — not because contractors don’t understand billing, but because as project managers wear so many hats, the granular details of invoicing can easily slip. A subcontractor bill that doesn’t match its purchase order, a missed line item on a customer invoice, or a payment that was processed but not properly recorded can quietly compound into serious cash flow problems. The session makes the case that Contractor Foreman’s billing and payment modules, used together as a system, eliminate most of that ambiguity.

The core of the session walks through how purchase orders, bills, and the payments module work together to create a clear, trackable record of committed costs and actual spend. Taha shows how locking in costs at the purchase order stage gives project managers a baseline to measure bills against, and how the payments module makes it easy to see exactly what has and hasn’t been paid on any subcontract or vendor relationship — so there are no surprises when wrapping up a project.

The session also covers the invoicing workflow for billing customers, including how the Schedule of Values ties back to the estimate to create a structured billing cycle, how approved change orders automatically flow into the Schedule of Values for invoicing, and how to handle T&M projects where a fixed schedule of values doesn’t apply. César Macedo joins to walk through a real-world T&M scenario involving a waterproofing subcontractor, highlighting the key distinction between committed costs (purchase orders and subcontracts) and actual costs (bills and expenses) — and why mixing the two in T&M invoicing can result in accidentally double-billing a customer.

Attendees were offered a complimentary one-on-one training session to go deeper on any billing or invoicing workflow specific to their projects.

This session is ideal for:

  • Project managers who struggle to track what’s been paid versus what’s still outstanding on subcontracts and purchase orders
  • Contractors looking to build a consistent, repeatable invoicing workflow for billing customers
  • Teams running T&M projects who need a flexible approach to capturing billable costs without overcomplicating the process
  • Anyone who has experienced cash flow gaps, missed invoice items, or confusion around draw schedules and change order billing
