May 8th, 2026

Hosted by: César Macedo, Trainer at Contractor Foreman

Featured Guest: Nick Fletcher, Product Development at Contractor Foreman

Topic: Scheduling, Crew Management, and Daily Logs — Building a Coordinated Job Site Workflow

Webinar Description

In this special guest session, César Macedo welcomes Nick Fletcher — second-generation home builder, former contractor, and current member of Contractor Foreman’s product development team — for a practical walkthrough of how scheduling tools and daily logs work together to keep job sites organized, reduce time wasted on communication gaps, and give project managers real visibility into what’s happening in the field.

Nick opens with a perspective that is rare in software training: he has used Contractor Foreman as a client before joining the team to help build it. That firsthand experience shapes the entire session. Rather than walking through features in isolation, he frames the conversation around the real cost of disorganization — the time lost to double-entry, the revenue lost to poor documentation, the chaos of managing crews across multiple sites without a central system — and shows how the tools inside Contractor Foreman were designed to eliminate that friction.

The core of the session covers the project scheduling module and the crew scheduling tool in depth. Nick explains how the project schedule serves as the roadmap for a job — the what and the when — while the crew schedule answers the where, the who, and the when for the people doing the work. He walks through how crew assignments made in the scheduler flow directly onto the calendar, giving both office staff and field teams a shared, real-time view of who is going where and when, without the need for morning huddles, group texts, or phone calls to confirm assignments.

The session also revisits the daily log — building on previous advanced webinar sessions — but from a field-first perspective. Nick makes the case that the daily log should not be treated as an end-of-day summary to fill out from memory, but rather as a live running record that a site supervisor starts at the beginning of the day and completes as work unfolds. When used this way, it replaces the yellow notepad, eliminates the double-entry of uploading photos manually, and creates a complete, searchable story of the job site that flows directly into the project’s document and file structure.

César closes the session by highlighting how the Documents section and the custom Reports module pull daily log data together across projects — allowing project managers to quickly scan tasks performed, filter for weather and schedule delays, and run saved weekly reports without rebuilding them each time. Nick adds that custom fields entered in daily logs are fully available inside those custom reports, making the reporting system as flexible as the data being entered.

Attendees were offered a complimentary one-on-one training session for any follow-up questions.

This session is ideal for:

  • Project managers and business owners who manage crews across multiple active job sites and need a better way to coordinate assignments
  • Teams who are still relying on phone calls, texts, or paper to communicate daily schedules to field staff
  • Anyone using Contractor Foreman who has not yet connected their project schedule to crew scheduling and daily log workflows
  • Contractors interested in hearing how someone who has both used and helped build the software approaches day-to-day site management
