Assigned Projects & Default Project

In Contractor Foreman, Assigned Projects and Default Projects serve as powerful filtering mechanisms to streamline visibility and focus your team’s attention on relevant data alone. By limiting views to specific projects, these tools reduce clutter, enhance productivity, and prevent accidental access to unrelated information—ideal for supervisors overseeing select sites or subcontractors collaborating on isolated jobs. However, they require careful application: avoid assigning or defaulting projects to admins or users who need broad access, as this can inadvertently hide essential records like estimates or invoices tied to unassigned areas.

Understanding Default Projects

The Default Project acts as a persistent filter in your personal view, automatically narrowing all modules—such as estimates, timecards, or schedules—to data from one designated project. This setup is particularly beneficial for prolonged engagements on a single site, where immersion in project-specific details minimizes navigation errors and speeds up daily tasks. Once activated, the system exclusively surfaces content linked to that project, ensuring a tailored dashboard without manual adjustments each session.

To set or adjust your Default Project, interact directly with the menu bar’s project selector. This quick-access control allows seamless toggling, promoting flexibility as your focus shifts between long-term commitments and ad-hoc reviews.

  1. Locate the project dropdown in the menu bar at the top of the screen. Positioned prominently for constant availability, this dropdown displays your current selection or “All Projects” if no default is active, serving as the entry point for view customization.

  2. Click the down arrow to open the list of available projects. Expanding the dropdown reveals all projects in your account, with the currently defaulted one highlighted for easy identification and reversal.

  3. Click on the Action: button and choose Make Default Project Select your desired project from the list to set it as the default. Choosing a project instantly applies the filter across the platform, refreshing views to show only associated data—such as tasks, documents, or expenses—while preserving the full dataset intact behind the scenes.

To deactivate the Default Project and restore a comprehensive view, revisit the dropdown and reselect the Action: button and choose Go to Project, which unchecks it and broadens access once more. This reversible action ensures you can pivot quickly without permanent restrictions.

Managing Assigned Projects for Users

Assigned Projects extend the filtering concept to individual users, granting targeted visibility to prevent information overload and enforce role-based access. For instance, assigning a handful of projects to a site supervisor ensures they interact only with pertinent records, safeguarding sensitive details from unrelated personnel. This is especially useful for subcontractors, who benefit from a streamlined interface focused solely on their contributions, or for teams in multi-site operations where cross-project confusion could lead to errors.

Administrators should exercise caution: never assign projects to yourself or full-access users, as this can obscure newly created items if they’re linked to unassigned projects, creating the illusion of “vanished” data. The records remain secure and accessible—just temporarily filtered from view.

To configure Assigned Projects, navigate to the user’s profile for precise, user-specific adjustments. This directory-based workflow integrates with broader personnel management, allowing admins to align access with evolving team roles.

  1. From the main navigation Menu, select Directory. The Directory module centralizes user profiles, providing a searchable hub for editing permissions that cascade to project interactions without disrupting other account functions.

  2. Locate and select the target user’s record, then go to Access Details

  3. Click the Assigned Projects button. This dedicated button launches a multi-select interface listing all account projects, enabling efficient bulk assignments tailored to the user’s responsibilities.

  4. Check for the desired projects to assign them to the user. Selecting multiple projects grants visibility to all chosen ones, with the system updating the user’s dashboard accordingly to reflect only those datasets upon login.

  5. Click Save to apply the changes. Saving locks in the assignments, immediately enforcing the filters for that user while notifying them of any view shifts via session refresh.

To revoke access, repeat the process: edit the user’s record, access Assigned Projects, and uncheck the relevant items before saving. For unrestricted access, leave all selections blank, allowing the user to view every project in the account.

These tools collectively empower a more secure and efficient platform experience, where visibility matches necessity and data integrity remains paramount.

Supplementary Notes

Important Caution: If a user reports “missing” items after assignments, verify their project links—reassign broadly or temporarily disable filters to recover visibility without data loss. For admins handling diverse projects, rely on “All Projects” views to avoid self-imposed restrictions. Test changes by logging in as the user (via role simulation if available) to confirm intended access levels. If frequent project switches are common, opt out of defaults and use search filters instead for on-demand focus.
