Contractor Foreman provides a powerful Forms and Checklists module that helps you streamline project management with a library of pre-loaded ready-to-use forms and checklists, covering essential areas like safety, inspections, project updates, and more. In addition to using these pre-made templates, you can easily revise or create your own custom forms to fit your specific business needs.

It’s important to note that Forms and Checklists in Contractor Foreman can only be filled out by Users (Employees and Contractors that have their own account under your company) in Contractor Foreman. Non-users will not have access to the system to complete these forms digitally, though you can print them out for manual use.

When you navigate to the Forms and Checklists module, you will see three widgets on top which show your Recently Submitted Forms, Recent Forms which you’ve created or modified, and your Favorite Forms.

Below those widgets, you’ll see a list of forms that are categorized as Used forms and Company forms.

Used forms: These are the forms you have used by either assigning a form to someone or by submitting a form.
Company forms: Once you switch to company forms, you’ll see another filter on the right side called “All” and “Company”.

  • All: Here, you will find useful templates that Contractor Foreman offers for you to get started on creating your own company forms. You can use these forms as they are or modify these and save them into your company forms for easy access.
  • Company: Any form you’ve customized, or any form you’ve created from scratch, will appear here in company forms.

You can use any of the forms either in “All” or in “Company” by clicking the “Use This Form” button to the left of each form. When you click that button, you will be directed to the form where you can fill out the form and submit it, or assign it to someone else so they can fill out the form by logging into their Contractor Foreman account. Also, you can link it to a project if it’s related to a particular project. Despite it is not mandatory, as a best practice we recommend to always select it.

Let’s see how to use Forms and Checklists by considering an example. Imagine you have a Quality Control officer who does site visits and quality checks of the tasks that have been completed. In this case, you can create Forms for various activities to assess the quality of tasks and record them. Let’s say for plumbing, you can create a form for quality check for plumbing works and include which items need to be checked for quality assurance, such as if pipes are installed correctly without any leaks, any unused pipes have been sealed off properly, water pressure is adequate, and so on. So the QC officer can use this form to check and record these factors easily.

How to Navigate to Checklists

To access and begin working with your Checklists in Contractor Foreman, follow these steps:

  1. Go to the Forms & Checklists Module
From the left-hand navigation menu, click on Forms & Checklists. This will take you to the main dashboard for all forms and checklists available to your company.

  2. Locate the Checklists Section Within the Module
Forms and Checklists are organized together within this module. Any checklist templates you have created—or any checklist templates provided by Contractor Foreman—will appear within the main list of forms.

    • Checklists work just like other forms in the module and follow the same structure for usage and submission.

  3. Use the Filters to Quickly Find Checklists
If you’re looking specifically for checklists, you can:

    • Use the Search Bar at the top to search by checklist name.

    • Switch between Used Forms and Company Forms to find checklists you recently used or checklists that belong to your company.

    • Under Company Forms, use the All / Company toggle to differentiate between Contractor Foreman templates and your customized checklist templates.

  4. Open or Use a Checklist
    To start using a checklist:

    • Click the Use This Form button next to the checklist you want to fill out.

    • You will be directed to the checklist where you can complete it yourself, assign it to another user (employee or contractor), or link it to a project.

  5. Assigning Checklists to Field Staff
Since only Contractor Foreman users can complete digital forms and checklists, simply assign the checklist to the appropriate employee or contractor. They can log in, fill out the checklist, and submit it from any device.

  6. Reviewing Submitted Checklists
Once submitted, checklists will appear in the Recently Submitted Forms widget at the top of the Forms & Checklists dashboard. You can click any entry to view, review, or download the completed checklist.
