Once you connect Contractor Foreman to QuickBooks, data starts flowing between the two systems automatically — but not everything syncs, and not everything syncs in both directions. Here’s a plain-language breakdown.

What DOES Sync

Contacts: Contacts sync in both directions. A customer or vendor created in either system will appear in the other. Updates to contact information also carry over.

Invoices: Invoices sync both ways. Create an invoice in Contractor Foreman and it pushes to QuickBooks. Invoices created in QuickBooks can also come into Contractor Foreman.

Invoice Payments: Payments posted against invoices sync in both directions. Record a payment in Contractor Foreman and QuickBooks gets updated — and vice versa.

Bills: Bills sync both ways between the two systems. A bill created in Contractor Foreman transfers to QuickBooks, and bills entered in QuickBooks flow back to Contractor Foreman. Important: It’s strongly recommended to create bills in Contractor Foreman, not QuickBooks, to keep your job costing accurate.

Expenses: Expenses created in Contractor Foreman transfer to QuickBooks

Estimates: Estimates can transfer in both directions, but they function differently in each system. An estimate created in Contractor Foreman will transfer to QuickBooks, and a QuickBooks estimate can come into Contractor Foreman.

Time Cards: Time cards from Contractor Foreman transfer to QuickBooks Online (one direction only — Contractor Foreman to QuickBooks). This allows QuickBooks to handle payroll calculations based on the hours recorded in Contractor Foreman.

Purchase Orders: Purchase orders transfer between both systems.

What Does NOT Sync

Change Orders: Change orders stay in Contractor Foreman only. They do not sync to QuickBooks.

Schedules, Daily Logs, Punchlists, RFIs, Inspections, Safety Meetings: None of these sync with QuickBooks. They are project management tools that live exclusively in Contractor Foreman.

Recommended Workflow

Do your work in Contractor Foreman first. Create your bills, invoices, expenses, and payments in Contractor Foreman — let the integration push the financial data to QuickBooks automatically.

Think of it this way: Contractor Foreman is where you run your jobs. QuickBooks is where you do your accounting. The integration keeps both in sync — as long as you’re working in the right place.
