Creating a Copy of an Existing Submittal

Duplicating an existing submittal can be a helpful time-saving feature, particularly when managing repetitive processes, submitting similar materials across different phases, or following a standardized format. Rather than building a new submittal from scratch, Contractor Foreman offers a convenient method to create a copy of any previously created submittal.

This process is useful when:

●       You’re submitting the same or a slightly modified product for another area or floor.

●       You need to follow a similar review workflow for a comparable component.

●       You want to retain formatting, structure, and documentation used in an earlier submittal.

Access the Submittals Module

Begin by navigating to the Submittals section of the system. This is where all existing submittals are listed and where the copy functionality is accessed.

●       From the main navigation menu, follow this path:

○       Menu > Submittals

●       This opens the Submittals dashboard, where you can see a list of all submittals previously entered for the current project.

Locate and Open the Submittal to Be Copied

Once you’re in the Submittals module, scroll through the list or use filters/search to find the specific submittal you wish to duplicate.

●       When you’ve identified the correct entry, click the three vertical dots (“⋮”) on the far right of the row.

●       A small dropdown menu will appear with available options related to that specific submittal.

●       Select the option labeled “Copy” (or similar, depending on the system version).

Tip: Look for submittals that closely match the new one you’re planning to submit. The closer the original is to your needs, the less editing you’ll need to do afterward.

Confirm Copy Action

After selecting the copy option:

●       A system prompt will appear, asking you to confirm your action.

●       Click “Yes” to proceed.

The system will now generate a duplicate of the original submittal. This copied version will typically include:

●       All item details (names, descriptions, item numbers, etc.)

●       Attached documents (cut sheets, drawings, files, etc.)

●       Status and metadata (you may need to manually update these)

Reminder: The duplicated submittal is saved as a new, editable draft. The original remains unchanged.

Review and Update the Copied Submittal

After the copy is created, it’s important to review and revise the new submittal to suit its new purpose.

●       Update the submittal title, item numbers, or product names if applicable.

●       Replace or remove files that aren’t relevant to the new instance.

●       Adjust spec sections, drawing numbers, or manufacturers as needed.

●       Review external response sections, if copied over, and clear them if starting a new review cycle.
