When your integration is configured as one-way sync from QuickBooks → Contractor Foreman, projects created in QuickBooks can flow into Contractor Foreman.

This setup is commonly used when QuickBooks is the source of truth for project creation, while Contractor Foreman is used for project execution and management.

How Automatic Project Sync Works

With one-way sync (QuickBooks → Contractor Foreman) enabled:

  • Any new project created in QuickBooks
➜ Automatically syncs into Contractor Foreman as a project

This allows teams to:

  • Create projects in QuickBooks
  • Manage and track them in Contractor Foreman

What to Do If the Project Does NOT Sync Automatically

In some cases, a project created in QuickBooks may not sync automatically. When this happens, you can manually link or create the project from within Contractor Foreman.

Steps to Manually Create or Link the Project

  1. Go to:
    Menu → Settings → QuickBooks
  2. Open:
    Advanced Configuration
  3. Navigate to:
    Link Projects tab
  4. Scroll to:
    Projects in QuickBooks
  5. Find the desired project and click:
    “Link” (Contractor Foreman link button)
  6. Select:
    Create a New Project
  7. Check the box:
“Update Contractor Foreman data from QuickBooks”
  8. Click:
    Save

Result:
The project will now be created in Contractor Foreman and linked to QuickBooks.

Important Notes & Limitations

1. Automatic Sync May Not Always Trigger

Even when properly configured, automatic sync may not occur immediately or at all in some cases.

Recommended approach:
If a project does not sync, manually link or create it using the steps above

2. Estimates Do NOT Sync from QuickBooks

At this time:

  • Project estimates created in QuickBooks
❌ Do NOT sync into Contractor Foreman
  • Attempting to trigger the sync will not bring estimates over

Recommended workflow:

  • Create and manage estimates directly in Contractor Foreman whenever possible

Best Practice Recommendation

To avoid inconsistencies, we recommend using the two-way sync and working primarily from Contractor Foreman. This allows information to flow seamlessly into QuickBooks, ensuring a smooth, reliable, and proven workflow between both platforms.

Summary

  • One-way sync (QuickBooks → Contractor Foreman) allows project creation to flow into Contractor Foreman
  • If a project does not sync automatically, it can be manually created and linked
  • Project Estimates from QuickBooks do not sync, and should be handled in Contractor Foreman
