Emailing a Submittal with Attached Files Displayed in the PDF

When sharing submittals via email, it’s important that all relevant documentation, especially attached files like shop drawings, cut sheets, photos, and technical data, is included for the recipient to review. Contractor Foreman streamlines this by automatically incorporating all attached files into the PDF version of a submittal when it is sent via email.

This ensures that recipients receive not only the submittal form details, but also every supporting document, all in one, consolidated PDF package.

●       Yes – Attached files are displayed in the emailed PDF.
Every file uploaded to the submittal (including PDFs, images, Word documents, etc.) will be embedded or appended to the end of the PDF that the recipient receives.

Open the Submittals Section

Start by navigating to the Submittals module where you can access and manage your existing records.

●       From the Main Menu, go to:
 Menu > Submittals

This opens your list of all project submittals, showing current statuses, titles, and due dates.

Locate and Open the Submittal You Want to Send

From the Submittals list:

●       Scroll or search for the specific submittal you wish to email.

●       Click directly on the submittal title to open its full detail view.

Confirm Attachments Are Present and Accurate

Once inside the selected submittal:

●       Scroll down to the Attachments or Files section.

●       You can preview files by hovering over them or clicking “View” to open them in a viewer.

Send the Submittal via Email as a PDF

Once attachments are confirmed:

●       Click the “Email Submittal” or “Send as PDF” button, typically found at the top or near the submittal summary area.

You’ll be prompted to fill out the email form. Complete the following:

●       Recipient Email(s):
Enter the address of the internal team member, client, or external reviewer you want to send the submittal to.

Select Recipient Type:

Choose whether the recipient is Internal (team member) or External (outside reviewer or client).

Subject Line & Message Body:

●       Add a clear subject (e.g., “Submittal: Lighting Fixtures – 3rd Floor”) and include a brief message for context.

Captcha Verification:

●       Complete any security prompts (like CAPTCHA) required before sending.

Finally, click Send. The system will automatically generate a combined PDF that includes:

●       The full submittal form (all field data)

●       All attached files, appended to the end of the PDF
