When you create a Bill in Contractor Foreman—for example, from a Sub Contract, Purchase Order, or directly in the Bills module—it can be synced automatically to your QuickBooks account, provided that you have set up the QuickBooks integration.

Once synced, the Bill will appear in QuickBooks as a standard bill entry, making it easy for your accounting team to process payments and manage cash flow.

Important Note About Sync Limitations

While the sync between Contractor Foreman and QuickBooks is robust, there is one key limitation to be aware of:

We do NOT currently support syncing Bills from QuickBooks to Contractor Foreman if those Bills are associated with multiple Projects (i.e., split transactions are not supported).

This means if a single bill in QuickBooks is split between more than one project, it will not sync properly back into Contractor Foreman. However, if a Bill in Contractor Foreman is tied to one project, it will sync successfully with QuickBooks.

Set Up and Learn More

To make the most of this integration, you’ll need to set up the QuickBooks sync through Contractor Foreman’s Integration Settings. A full step-by-step guide is available in our Knowledge Base:

How do I integrate with QuickBooks?

This guide provides instructions tailored to the version of QuickBooks you are using and offers detailed information on how the sync process works—including what data is shared and how often it updates.

How do Bills Sync from Contractor Foreman to QuickBooks

When entering a bill in Contractor Foreman, users begin by selecting the vendor or subcontractor and filling out key general details: the bill date, due date, payment terms, and bill number. Once these are set, the next step involves entering the individual items on the bill.

For each item, users must select the item type, item name, quantity, unit cost, therefore the total amount, unit, and cost code. Additionally, attachments can be added to the bill if necessary.

Once the bill is completed, it is immediately synchronized with QuickBooks through an automatic integration process.

What Transfers to QuickBooks

When reviewing the bill in QuickBooks, the following general details transfer successfully:

  • Vendor or Subcontractor (Supplier)
  • Bill Date
  • Due Date
  • Terms
  • Bill Number

These elements appear in QuickBooks exactly as they were entered in Contractor Foreman.

Important Differences in Item Handling

The most significant difference lies in how items are managed between the two systems:

  • In Contractor Foreman, items are structured with a type (e.g., Material, Labor, Equipment, Subcontractor and Other), a name, and associated cost details.
  • In QuickBooks, all items imported from Contractor Foreman appear under the Item Details section, not under Category Details.

This is critical to note, as many QuickBooks users are more familiar with entering bills using Category Details. The switch to Item Details may require a shift in workflow for some users.

Additionally:

  • In QuickBooks, the Product/Service reflects the parent code and child code from Contractor Foreman.
  • The Description matches the item name.
  • Quantity and Rate transfer correctly, allowing QuickBooks to calculate the Amount (Quantity × Rate).
  • The Customer field in QuickBooks is automatically populated with the project name from Contractor Foreman.

What Does Not Transfer

One key detail that does not transfer is the Item Type (Material, Labor, Equipment, Subcontractor, or Other) and the Unit. This is because QuickBooks does not support item types in the same way Contractor Foreman does. Understanding this limitation is crucial to grasping how the integration works and setting the right expectations when reviewing data post-synchronization.
