Managing expenses accurately is a critical part of any construction project. In this article, we will walk you through how expenses entered in QuickBooks synchronize and appear in Contractor Foreman.

How to Create an Expense in QuickBooks

Use your preferred method to create an expense within QuickBooks. Once you are inside the expense form, complete the following fields:

  • Payee: This is the Vendor field in Contractor Foreman.

  • Payment Method

  • Reference Number

After these basic details are entered, you will encounter two sections: Category Details and Item Details.
For the purpose of transferring expenses correctly to Contractor Foreman, you must use only the Category Details section, not the Item Details.

Within Category Details, complete the following fields:

  • Category: This will transfer as the Category in Contractor Foreman.

  • Description: This will transfer as the Expense Name in Contractor Foreman.

  • Amount: This will transfer as the Total Amount in Contractor Foreman.

  • Customer: This will link the expense to the correct Project in Contractor Foreman.

Memo: This will transfer as the Reason field in Contractor Foreman.

Once all required information is entered, click Save and Close. Allow approximately five minutes for the synchronization between QuickBooks and Contractor Foreman to occur. After the sync, you will find the expense available within Contractor Foreman.

Important Note:
When entering expenses in QuickBooks under Category Details, you will notice there is no option to select a Cost Code.
This is expected behavior.
Therefore, once the expense appears in Contractor Foreman, it is highly recommended to manually select a Cost Code for better job costing accuracy.

How Does the Expense Appear in Contractor Foreman?

To view the expense in Contractor Foreman, follow these steps:

  1. Navigate to the Expenses module.

  2. Locate and open the expense you wish to review.
To simplify the search, you can also use the Transaction Log module in Contractor Foreman.
This powerful tool allows you to easily track and confirm all transactions that have been synced between Contractor Foreman and QuickBooks.

When you open the expense in Contractor Foreman, you will notice that the following information successfully transfers:

  • Project (linked through the Customer field in QuickBooks)

  • Vendor (through the Payee field)

  • Bank Account

  • Expense Name (from the Description)

  • Reason (from the Memo)

  • Reference Number

  • Total Amount

  • Category

However, you will also notice that some fields remain blank:

  • Employee: This field remains empty because QuickBooks does not have a direct field for it during expense creation.

  • Item Type: This field will not be populated, as expenses created in QuickBooks using Category Details do not define item types.

  • Cost Code: As mentioned earlier, QuickBooks does not allow the entry of Cost Codes for expenses.
It is a best practice to manually assign a Cost Code once the expense appears in Contractor Foreman to maintain accurate and organized job costing.
