Adding items to a punch list in Contractor Foreman is simple and flexible.

  1. Click the “Add Item to Punchlist” button.
This action opens a dedicated pop-up form to enter details for a single punchlist item.

Fields in the Punchlist Item Form:

Field

Definition and Best Practice

Area*

Specify the precise location of the issue. Examples: “Bath #2,” “Southwest corner of Room 204,” or “Emergency Exit Signage near lobby.” Providing detailed spatial references helps the responsible party identify the issue location without confusion.

Completion Date

Define the date by which the task should be completed. This creates accountability and helps prioritize urgent items.

Assigned To*

Select the responsible party (company or individual) from the drop-down. Best practice: If more than one company is involved in resolving the issue, create separate punchlist items for each party. This maintains clarity and independent tracking.

Description*

Provide a thorough explanation of the deficiency, task, or problem. Include necessary measurements, instructions, or references to specifications/drawings. Well-written descriptions reduce delays and misunderstandings.

Images

Upload one or more images of the issue. Photos may be taken in real-time from your mobile device or uploaded from an existing gallery. Photos should clearly document the issue for review and record-keeping.

  1. Once the form is complete, click Confirm to save the punchlist item to the current punchlist.
  2. Repeat the process for each additional item you wish to include.

After entering general punchlist data, you must populate the list with specific items that require attention.

Why is this important?

In construction, punch lists are rarely “one and done.” They evolve as the project progresses and as more eyes review the work. It’s common to add items after the initial list is created, especially in situations like:

  • Walking with the owner/client – Clients often point out details during site visits. Adding them on the spot shows professionalism and commitment to quality.

  • Walking with your team or subcontractors – Sometimes deficiencies are spotted internally. Recording them ensures nothing gets lost and everyone is accountable.

Cleaning vs. Adding Punch List Items

  • Cleaning a punch list means addressing and marking existing items as complete.

  • Adding items means recognizing new deficiencies and including them for correction.

Both are equally important: one ensures the original issues are resolved, while the other ensures any new issues don’t slip through the cracks.

By continuously updating your punch list, you demonstrate that quality control is an active process—not just a final checklist. It helps you deliver projects that meet or exceed expectations, building trust with owners, inspectors, and your own team.
