Once a Work Order has been approved, it becomes locked to preserve accuracy and prevent accidental changes. This ensures that both your team and the client are working from the same agreed-upon scope. However, projects are dynamic, and sometimes revisions are necessary, such as when a client requests additional work associated to the work order, or when there was an error in the scope that needs to be corrected.

How to revise an approved Work Order

  1. Open the Work Order you need to modify.

  2. Change the status of the Work Order from Approved to either Open or Estimating.

    • This unlocks the Work Order for editing.

  3. Scroll down to the Work Order Items section.

  4. To update an item inline:

    • Double-click on the quantity to change it.

    • You can also edit the item name, cost codes, unit cost, and unit the same way.

  5. For more detailed edits, click on the eyeball icon next to the line item to open full item details.

  6. Once your changes are complete, resubmit the Work Order to the client for approval.

Why revise a Work Order?

Revisions are often needed when:

  • The client adds new tasks or requests changes in the middle of the job.

  • The scope of work evolves due to site conditions or unforeseen issues.

  • Errors or omissions were discovered in the original Work Order.

By adjusting the status and editing the details, you ensure the Work Order remains accurate, up to date, and transparent for all parties involved.
