How Do I Add or Modify the PDF Templates for Each of the Features?

Customizing PDF templates allows users to tailor document outputs to specific branding, project requirements, or compliance needs across various modules in Contractor Foreman. This flexibility ensures that generated reports, invoices, and forms align precisely with professional standards, enhancing presentation and usability without starting from scratch each time.

Access the Templates Section

Begin by navigating to the core configuration area of the platform. This step positions you to manage template modifications efficiently, ensuring changes apply consistently across the selected module.

  1. From the main navigation Menu, select Settings. The Settings area centralizes account-wide customizations, including document templates, to streamline administrative tasks and maintain uniformity in outputs.

  1. Scroll down to the Templates section. The Templates section houses all editable layouts for PDF generation, grouped by module for targeted modifications that support diverse workflow demands.

Select and Edit a Template

With the Templates section open, proceed to choose the relevant module and initiate edits. This process emphasizes safety by recommending copies, which preserves original templates as fallbacks and mitigates risks from experimental changes.

  1. In the top right corner, click the dropdown menu and choose the module for which you want to edit the template. Selecting a specific module—such as Invoices, Change Orders, or Proposals—narrows focus to relevant templates, ensuring modifications enhance functionality without affecting other areas.

  2. Select an existing template to modify and create a copy of it. Duplicating a template safeguards the default version, allowing iterative improvements while enabling easy reversion if adjustments introduce errors or undesired formatting.

  3. Once the copy is created, select the copied version and begin making your changes. Editing the duplicate directly applies updates to future PDF exports for that module, with the system automatically using the active version unless reverted, promoting a controlled customization environment.

This approach to template management integrates seamlessly with Contractor Foreman’s modular design, where changes in one area, like adding custom fields or adjusting layouts, propagate accurately to all related documents.

Supplementary Notes

Always test modified templates by generating a sample PDF within the relevant module to verify formatting and content accuracy before relying on them in live projects. If issues arise during edits, revert to the original by deleting the custom copy and selecting the default template from the list. For advanced customizations, such as incorporating dynamic data fields or company logos, ensure all elements are supported in the template editor to avoid export errors.
