How to Attach a File or Image to a Safety Meeting

Purpose

Attaching files or images to a Safety Meeting record allows you to document real-time jobsite safety, enhance accountability, and provide visual proof of compliance. Whether it’s a sign-in sheet, photos of PPE usage, or site-specific hazards—attaching files ensures your safety documentation is clear, complete, and easily accessible for audits or internal tracking.

When You Might Want to Attach Files or Photos

  • A picture of the sign-in sheet from the meeting
  • A photo of all attendees gathered during the talk
  • Images of the hazard or equipment being discussed
  • A PDF handout used during the meeting
  • Reference materials, checklists, or even site maps

Attachments can help demonstrate that a meeting took place, what was discussed, and what conditions were present—all useful for OSHA audits or internal investigations.

  1. Click the Add Attachment button

  1. Click on the “Add an Attachment” button

  2. Once selected, the file(s) will appear in the list under the Safety Meeting record
  1. Click “Submit” at the bottom to save your changes

Additional Notes

  • Most common formats are supported (.JPG, .PNG, .PDF, .DOC, etc.)
  • Attached files stay stored with the meeting record and are visible to anyone with access to the meeting
  • If you need to remove or replace an attachment, just use the trash/delete icon next to it before submitting your updates

Why It Matters

Keeping proper documentation isn’t just about checking boxes—it protects your company, improves jobsite communication, and reinforces a culture of safety. Adding images or documents makes your records stronger and more defensible if compliance questions ever arise.
