How Do I Create a New User?

Creating a new user in Contractor Foreman begins with adding an employee record, which then enables login access and role assignment for secure, role-based platform utilization. This process integrates new team members into your directory while controlling their permissions, ensuring they can access only the modules and features necessary for their responsibilities—such as timecards for field staff or estimates for estimators—without exposing sensitive administrative tools.

Access the Directory Module

Start by navigating to the central repository for personnel management. This module serves as the foundation for all employee-related configurations, positioning you to extend basic records into full user accounts efficiently.

  1. From the main navigation Menu, select Directory. The Directory module provides a comprehensive list of existing employees, with intuitive options for expansion that maintain data consistency across scheduling, payroll, and project assignments.

Add and Configure the New Employee

  1. In the top left corner, select the Add a New Employee option from the dropdown menu. Choosing Add a New Employee launches a dedicated window for inputting details like name, contact information, and job title, ensuring all foundational data is established before access permissions are granted.

In the employee creation window, populate the required fields with accurate information. This step ensures the record aligns with your HR standards and integrates seamlessly with other platform features, such as crew scheduling or time tracking.

  1. Enter all relevant employee details, such as name, email, phone, and position. Providing complete details here populates the profile automatically, facilitating quick searches and associations in modules like Crew Schedule or Time Cards, where employee data drives operational workflows.

Authorize Login Access and Assign Permissions

Once basic information is saved, focus on the security settings to activate user functionality. This authorization step is crucial, as it bridges the employee record to active platform participation while enforcing access controls.

  1. On the right side of the screen, locate and check the Allow Login Access? Checkbox

  1. Assign a username and password for the new user. The username should be unique and memorable, such as an email alias, while the password must meet complexity guidelines to enhance security. These credentials enable immediate login upon distribution.

  2. Select the appropriate Role from the dropdown. Roles dictate feature visibility and edit rights— for example, assigning “Field Worker” limits access to time entry while granting “Admin” full control. Custom roles, which define granular permissions, must be pre-configured in the Settings module to appear here.

  3. Click Save to finalize the user creation. Saving commits the profile, making the new user instantly available in the Users list and applicable across modules, with their role enforcing permissions from the first login.

Supplementary Notes

To customize roles for precise access control—such as creating a “Supervisor” role with view-only rights to financials—refer to the article: Adding, Editing & Assigning Roles. This linked guide details role management in Settings, allowing you to tailor permissions before assignment. Monitor user activity through the Users section to track logins and adjust roles as needed. If password recovery is required post-creation, users can reset via the login screen, but initial setup should include secure distribution methods to avoid exposure.
