How Do I Create or Edit a Document in the Document Writer?

Overview
The Document Writer allows you to create, edit, and manage custom documents used across your account, including agreements, proposals, and internal forms. You can build documents from scratch or paste in existing content, then enhance them with dynamic fields and attachments.

Where to Access the Document Writer
To begin creating or editing documents:

  • Navigate to Document Writer from the main menu
  • View existing documents or create a new one

How to Create a New Document
Follow these steps to create a document:

  1. Click + Add Document
  2. Enter a Document Name
  3. Select the associated Module (e.g., Customers, Contractors, Employees)
  4. Choose a Publication Status:
    • Published – Available for use
    • Unpublished – Not available for use
    • Archived – Hidden but saved for future use
  5. Choose whether to Show Header and Footer (based on your company settings)
  6. Save your document

Adding and Editing Content
You can build your document in multiple ways:

  • Type directly into the editor
  • Copy and paste from an existing document
  • Format text using the editor toolbar

If enabled, headers and footers from Settings > Profile will automatically apply branding to your document.

Using Merge Fields
Merge fields allow you to dynamically pull in data:

  1. In the editor toolbar, click Merge Field
  2. Select the appropriate Module
  3. Choose the field you want to insert
  4. Repeat for all required fields

These fields will populate automatically when the document is generated.

Using Images as Documents
The option “Use existing image as document” allows you to upload a full-page image:

  • Ideal for proposal packets or pre-designed documents
  • Disables text editing and attachments when used

Working with Attachments
You have two options for including additional files:

  • Add link to file at the bottom
    • Inserts a clickable link
    • Best for guides, brochures, or reference materials
  • Show attachments as individual pages (PDF only)
    • Embeds the file directly into the document
    • Best for contracts or documents requiring signatures

Best Practices

  • Use merge fields to reduce manual entry and errors
  • Keep formatting consistent with your branding
  • Use “Published” status only when documents are finalized
  • Choose attachment type based on importance and length

Conclusion
The Document Writer provides a flexible way to create professional, reusable documents. By combining custom content, merge fields, and attachments, you can streamline document generation and maintain consistency across your business.
