How to Edit Invoice Templates and Consolidate Change Orders on Invoices

Purpose

To learn how to edit Invoice Templates and display a single line item per Change Order instead of showing all itemized Change Order details on invoices.

Editing Invoice Templates

  1. Go to the Main Menu and select Settings.

  2. Scroll down to the Templates section.

  3. In the top-right corner, use the dropdown menu to select the Invoices module.

  4. Choose the template you want to edit.

Recommendation: It is best to clone an existing template before making changes. This allows you to preserve the original default templates.

To clone a template, click on the Clone icon and rename the new copy.

  5. You can:

    • Choose which information to display in your invoices.

    • Reorder fields.

    • Add custom text.

    • Adjust the layout to match your company’s preferences.

  6. Once finished:

    • Update the template name.

    • (Optional) Set it as your default template.

Showing a Single Line Item per Change Order in Invoices

By default, when adding Change Orders to an invoice, Contractor Foreman includes every line item from the Change Order.
However, some users prefer to display one single summarized line for each Change Order instead.

To consolidate Change Orders into one line per CO:

  1. Go to Settings → Change Orders.

  2. Under General Settings, click Edit (top-right corner).

  3. Locate and turn on the “Consolidate on Invoice” option.

Once enabled, all future invoices will display a single line item per Change Order instead of showing all itemized entries.

Creating an Invoice for Change Orders Using a Custom Template

  1. Navigate to the Invoices module.

  2. Click Add New Invoice.

  3. To include Change Orders:

    • Use the Import from Schedule of Values option.

    • Select the specific Change Order items you wish to bill for.

  4. After selecting, click Submit to Client.

  5. In the pop-up window, select your custom template (created in the first part of this article).

  6. Since “Consolidate on Invoice” is enabled, your invoice will now show one summarized line per Change Order instead of all individual items.

Summary

  • Use Settings → Templates to edit or clone Invoice Templates.

  • Turn on “Consolidate on Invoice” in Change Order Settings to group Change Orders into one line per invoice.

  • Always Save your changes and select your preferred custom template when submitting invoices to clients.
