When a subcontractor completes part of their agreed-upon work, they typically submit an invoice (Bill in Contractor Foreman) for the completed portion. In Contractor Foreman, you can enter a bill from a subcontractor to reflect the partial completion of their scope of work.

This article will guide you through the process of entering a bill against an existing Sub-Contract, ensuring that the payment aligns with the actual work completed.

Access the Sub-Contracts Module

  1. Log in to Contractor Foreman.
  2. From the Main Menu, navigate to Sub-Contracts.
  3. Locate and open the Sub-Contract for which you need to enter a bill.

Step 2: Generate a Bill from the Sub-Contract

Once inside the relevant Sub-Contract, follow these steps:

  1. Click on the three-dot menu (⋮) in the top right corner.
  2. Select Generate Bill from the drop-down menu.

This will open a new Bill entry linked to the Sub-Contract.

Select Line Items for Partial Completion

The Bill form will display a list of items from the Sub-Contract.

  1. Review the list of subcontracted work items.
  2. For each item, enter the percentage or amount corresponding to the work completed.

Example:

If the subcontract includes plumbing work valued at $20,000.00, and the subcontractor has completed 20% of the work, you would:

  1. Select the plumbing work line item
  2. Enter 20% completion or $4,000.00 as the amount being billed
  3. This ensures that only the portion of work completed is reflected in project financials.

Create the Bill

After entering all necessary details, click Create Bill to create the Bill. Once the bill is created, you can click the 3 dots to the top right of the bill and post payments to the bill to record payments you’ve made to the sub-contractor.

After saving the Bill:

  • The $4,000.00 from the example above will be recorded as an Actual Cost in the project.
  • The remaining $16,000 will still be recorded as a Committed Cost under the Sub-Contract.
  • If retention is applied, it will be tracked separately until final payments are processed.
