One of the most powerful financial tools in Contractor Foreman is the Job Cost Actual Report (Detailed). This report gives you a complete financial picture of any project, allowing you to compare:

  • Estimated cost (budget)
  • Actual cost
  • Contract value
  • Amount invoiced
  • Profitability

This report brings together all labor, equipment, bills, expenses, and income entries into one place. Because of this, it’s the best report to evaluate the financial health of any project.

Below is a full guide on how to run it and how to understand what you’re seeing.

Where to Find the Job Cost Actual Report Detail

Step 1: Go to the Reports Module

From the main menu, open Reports.

Step 2: Scroll Down to the “Job Cost” Section

In this section, locate:

Job Cost Actual Report (Detailed)

Click the blue View button to open the report filters.

Configuring the Report

When the report window opens, you will see several options to customize your results:

1. Date Range

Select the time period you want to analyze.
This affects actual costs (time cards, bills, expenses) but not estimated amounts.

2. Project Type (Optional)

Filter by project type if you want to limit the report.

3. Project (Required)

This field is mandatory.

You must select the project you want to analyze.
This is because job costing must be connected to a single project at a time.

4. Estimated Source: Schedule of Values or Approved Estimate

Choose how your estimated costs and budgets are defined:

  • Approved Estimate → Recommended if you follow Contractor Foreman’s workflow

  • Schedule of Values → Useful if your contract values or billing structure come directly from SOVs

5. Labor Source: Billing Rate, Wage Rate or Burden Rate

If you follow the recommended workflow, select:

Burden Rate

This gives a more accurate representation of labor cost by including:

  • Hourly wage
  • Payroll taxes
  • Insurance
  • Labor burden

Generating the Report

Once your selections are ready, click Generate.

Contractor Foreman will produce an Excel file with two tabs:

TAB 1 — Job Cost Actual Report (Main Summary)

This tab is the core of the report and can also be previewed inside the Project → Reports section for quick viewing.

The report includes:

Cost Code & Cost Code Name

Every cost code associated with the project.

Current Contract Value

(estimate + approved change orders + work orders + service tickets).

Current Cost Budget (Estimated Cost)

This is the estimated amount or budgeted cost for each cost code.

Invoice to Date

How much has been invoiced to the client so far.

Actual Cost Columns

These columns show the real costs recorded from:

  • Time Cards (labor)

  • Bills (vendor invoices)

  • Expenses

  • Equipment time

Each cost type is itemized, and the total is shown under:

Total Actual Cost

Key Comparisons (3 Powerful Variance Columns)

These columns help you evaluate profit and cost performance:

1. Contract Value – Actual Cost

Shows profitability compared to revenue.

2. Cost Budget (Estimated) – Actual Cost

Shows whether you are over or under your estimated budget.

3. Invoiced Amount – Actual Cost

Shows cash flow performance based on billed amounts vs. real cost.

TAB 2 — Source Items

This tab contains the detailed list of every transaction included in the report, such as:

  • Time card entries
  • Bills
  • Expenses
  • Equipment entries
  • Income items

This is extremely helpful for auditing or validating specific numbers.
