Keeping the Service Ticket status up to date is essential for clear communication between your team, dispatchers, and customers. It also ensures that automated notifications and workflows within Contractor Foreman work correctly.

How to Update the Status

  1. Go to the Menu and select Service Tickets.
  2. Choose the Service Ticket you want to update.
  3. At the top of the screen, you’ll see the different status options:
  • Unscheduled
  • Scheduled
  • En Route
  • Checked In
  • Completed
  • Canceled (not listed)
  • Requires Follow-Up (not listed)
  • Simply click on the desired status to update it.
    • This can be done both on the desktop and mobile app versions.

Automatic Notifications and Actions

Some statuses trigger automatic actions or notifications:

  • Scheduled → En Route
When you switch to En Route, the system will prompt a message asking if you’d like to notify the customer that the technician is on the way.

  • Checked In
This status does not trigger notifications but helps track when the team has arrived onsite.

  • Completed
When you change the status to Completed, the system will ask if you want to notify the customer that the job is done.
It will also ask whether a follow-up is required. If you select “Yes,” a new Service Ticket will be created automatically for that follow-up work.

  • Requires Follow-Up
This status itself doesn’t trigger any actions but serves as a flag for internal tracking.

Why Following the Status Workflow Matters

Updating statuses in the right order (Unscheduled → Scheduled → En Route → Checked In → Completed) ensures:

  • Clear communication with customers through automated notifications.
  • Better coordination between dispatchers and field technicians.
  • Accurate records of service progress and timelines.
  • Smooth invoicing, since completed tickets can be invoiced immediately.

Next Step: Invoicing

Once the Service Ticket has been marked as Completed, you can generate an invoice directly from the Service Ticket.
This helps keep billing aligned with actual completed work, ensuring nothing is missed.
