Contractor Foreman offers seamless integration with QuickBooks, including the ability to transfer invoice payments easily between the two platforms. In this article, we will guide you through how to post a payment in Contractor Foreman and how that payment syncs to QuickBooks.

Step-by-Step: Posting a Payment in Contractor Foreman

  1. Open the Invoice
Navigate to the invoice you want to apply a payment to within Contractor Foreman.

  2. Access the Payment Option
Click on the three-dot icon (⋮) located at the top right corner of the invoice screen.
A drop-down menu will appear — select “Post Payment to Invoice.”

  3. Complete the Payment Details
A new window will pop up where you will need to fill out the payment information.
Fields marked with an asterisk (*) are required:

    • Payment Date

    • Payment Amount

    • Payment Type (e.g., Check, Credit Card, ACH)

    • Approval Status

Additional optional fields you can fill in:

    • Payment Notes

    • Reference Number

    • Deposit To (account)

Important:
The Approval Status must be set to“Verified (Post to QuickBooks)”for the payment to sync to QuickBooks.
Without this approval status, the payment will not transfer.

  1. Review the Payment History
After saving the payment, go to the left side of the invoice screen and click the “Payments” section.
    Here you can see:

    • All payments posted to this invoice

    • Payment dates, amounts, types, and statuses

Tip:You can post multiple payments to a single invoice if needed.
Each payment represents an income transaction— money your customer has paid you.
