In Contractor Foreman, you can send a Sub-Contract to a subcontractor for review and approval without requiring them to be a registered user of the software. This functionality makes the approval process efficient and contractor-friendly while ensuring formal documentation and communication are maintained.

This article explains how the approval process works and clarifies the access requirements for subcontractors.

Subcontractors do not need to be users of Contractor Foreman to review or approve a Sub-Contract. They simply need to exist in your Directory as a Contractor contact. When you’re preparing to send a Sub-Contract for approval, ensure the subcontractor has been added to your system under the Directory module.

Once you’ve created the Sub-Contract and are ready to send it to the subcontractor for approval, follow these steps:

  • Go to the Sub-Contract you created. This can be found in the Sub-Contracts module.
  • Click the three-dot menu (•••) at the top-right of the Sub-Contract.

  • Select “View/Email PDF.” This will allow you to select the PDF template you want to send to the subcontractor.
  • Choose a template, preview it, and then click “Submit for Approval”.

  • A confirmation pop-up will appear. Click Yes to confirm.
  • An email window will open, addressed to the subcontractor’s email you entered in the Directory.

  • Customize the subject and message if needed, then click Send to send the email.

How the Subcontractor Approves the Sub-Contract

Once the email is sent:

  • The subcontractor will receive an email containing a button to open the Sub-Contract.
  • Clicking the link opens the Sub-Contract in a browser tab, not in the Contractor Foreman system.
  • The subcontractor can review the details of the agreement directly from this secure link.
  • They will have an option to approve or reject the Sub-Contract based on the information provided.

This is a streamlined and user-friendly process that ensures approval can be completed without needing to log in or be trained on the software.

Why This Is Helpful

  • Ease of Access: Subcontractors don’t have to create an account or navigate a new system.
  • Speed: Approvals can be completed quickly, reducing delays.
  • Control: You maintain full visibility over when the contract was sent and when it was approved.
  • Documentation: The approval is captured in the system for future reference and audit purposes.

Contractor Foreman makes it simple for subcontractors to approve Sub-Contracts without being software users. All you need is their contact information in your Directory. Once the contract is sent, they can view and approve it directly from a secure link in their email. This process not only saves time but also ensures your Sub-Contract approvals are properly documented, efficient, and legally clear.
