Understanding how Contractor Foreman and QuickBooks share project data is crucial for maintaining clean records and efficient job costing. This article explains how Projects are transferred between Contractor Foreman and QuickBooks, assuming the systems are properly integrated.

How Projects Transfer from Contractor Foreman to QuickBooks

When you create a Project in Contractor Foreman, it automatically syncs to QuickBooks, but not as a standalone project. Instead, it appears as a sub-customer under the corresponding Customer in QuickBooks.

Example:

If you have a customer named Michael Thompson in Contractor Foreman, and you create a project called 400 Boren – Time & Material, QuickBooks will register 400 Boren – Time & Material as a sub-customer of Michael Thompson Customer.

What Gets Synced:

The project name and its relationship to the customer are the primary data points transferred. Address also syncs.

Best Practices

Important: For best results and proper job-costing structure, it’s recommended to create all Projects directly in Contractor Foreman. This ensures that they are properly linked to the correct customer and transferred to QuickBooks in the right format and following the Estimate Workflow.

Always create Projects in Contractor Foreman to ensure clean and consistent sync with QuickBooks following the Estimate Workflow.

Verify customer linkage before syncing. The Customer must already exist in QuickBooks or will be created automatically by Contractor Foreman.

Avoid creating sub-customers directly in QuickBooks unless you understand how they’ll appear in Contractor Foreman.

Allow up to 5 minutes for sync completion between systems.

Go to QuickBooks and convert the Sub-costumer to a Project.
