How Purchase Orders Transfer from QuickBooks to Contractor Foreman

Purchase Orders created in QuickBooks can sync to Contractor Foreman, but there are limitations that can affect accuracy—especially in job costing.

Important Note:
If you enter Purchase Orders directly in QuickBooks, you must use the Item Details section, not the Category Details.

Why?

  • Item Details allow the use of Cost Codes, which are essential for job costing in Contractor Foreman.
  • Category Details do not support cost codes and therefore do not integrate correctly for project-based reporting in Contractor Foreman.

Recommended Workflow

To ensure clean data and accurate reporting:

  1. Create Purchase Orders in Contractor Foreman first.
This ensures that all details, including cost codes, project associations, and supplier data, are properly structured and sent to QuickBooks.
  2. Let Contractor Foreman push the PO to QuickBooks via the integration.
This reduces duplication, avoids incorrect cost tracking, and ensures smoother audits and reporting.

Best Practices

  • Always create POs in Contractor Foreman when job costing is important.
  • Use Item Details only if creating POs in QuickBooks.
  • Make sure Suppliers are properly synced between systems to avoid duplication.
  • Allow up to 5 minutes for sync completion between systems.
