Hosted by: Amber Wells, QuickBooks Integration Specialist at Contractor Foreman

Topic: QuickBooks Integration Workflow Best Practices — Avoiding Sync Issues in Contractor Foreman

Webinar Description

In this advanced training session, Amber draws on her 25 years of QuickBooks experience and 6 years of construction accounting expertise — including over 2,000 integrations completed since 2020 — to walk users through the best workflow practices for running a successful QuickBooks integration with Contractor Foreman.

The session focuses on what happens after integration is complete: how to avoid syncing issues, why cost codes are the critical link between the two systems, and how to structure day-to-day workflow so that project data flows cleanly from Contractor Foreman into QuickBooks — without duplications, double entries, or reporting problems.

Amber explains that 95% of all syncing issues are not caused by the integration itself, but rather by two common missteps: cost codes not being applied correctly, and teams not understanding the recommended workflow between systems. She covers the pros and cons of two-way sync, clarifies what Contractor Foreman does and does not support (it is project management software, not an accounting firm), and walks through the proper entry workflow — creating estimates, invoices, and bills inside Contractor Foreman so they sync into QuickBooks, where financials and payments are then managed.

César Macedo also joins the session to walk through the Job Cost Actual Report in depth, explaining how item types (time cards, bills, expenses, equipment) map to cost codes and feed into job cost totals — and why creating transactions directly in QuickBooks can break the link to subcontracts and cost tracking in Contractor Foreman.

Attendees were also offered a complimentary one-on-one training session for deeper, project-specific support.

This session is ideal for:

  • Contractors who have recently completed their QuickBooks integration
  • Project managers and accounting teams who need to align on a shared workflow
  • Anyone experiencing duplicate transactions, sync errors, or unassigned costs in their reports
  • Teams looking to fully leverage job costing and cost code tracking across both systems
