Tracking Submittals in Contractor Foreman

Effective project management relies heavily on accurate tracking of submittals throughout their lifecycle, from initial creation to final approval. The Submittals Module in Contractor Foreman offers a centralized location where all project-related submittals can be monitored, filtered, and reviewed in real time.

Whether you need to check the current status of a pending approval, verify who a submittal is assigned to, or confirm deadlines, this module provides the necessary visibility and control to stay organized and on schedule.

Access the Submittals Module

Begin by navigating to the Submittals section of the system. This is where all existing submittals are listed and where the copy functionality is accessed.

●       From the main navigation menu, follow this path:

○       Menu > Submittals

●       This opens the Submittals dashboard, where you can see a list of all submittals previously entered for the current project.

Why this matters: Centralizing submittals in one location helps project teams quickly assess progress, spot bottlenecks, and ensure compliance with required documentation workflows.

View the List of Submittals

Once in the Submittals module, you’ll see a full list of all submittals associated with your projects. Each row in the list view includes multiple columns that provide at-a-glance insights. These include:

●       Submittal Number:
A unique identifier automatically or manually assigned to the submittal. This number helps with reference and retrieval in logs, reports, and communications.

●       Title:
The name or brief description of the submittal

●       Project:
The specific project the submittal is associated with

●       Status:
Displays the current stage of the submittal workflow. Common statuses include:

○       Draft – Created but not yet submitted.

○       Submitted – Sent for review or approval.

○       Approved – Fully reviewed and accepted.

○       Rejected – Requires revisions or has been denied.

○       Revise & Resubmit – Needs changes before approval can be granted.

●       Tracking status helps you monitor where each submittal stands and take action when required.

●       Due Date:
The deadline by which the submittal must be reviewed or approved. This is critical for time-sensitive materials or components that impact the construction schedule.

Click a Submittal to View Details

To dive deeper into any submittal, simply click on its row in the list.

Once inside the detailed view, you’ll be able to see:

●       Current Status:
Confirm the exact stage of the review process. This helps determine whether follow-up is required or if the submittal is complete.

●       Assigned User or Reviewer:
View who is currently responsible for reviewing or processing the submittal. This allows you to follow up directly with internal team members or external approvers.

Use Filters or Search to Narrow Results

When managing dozens, or even hundreds, of submittals across multiple projects, finding a specific one can be time-consuming. To streamline your workflow:

●       Use the Search Bar at the top of the Submittals Dashboard to search by:

○       Submittal number

○       Title

○       Project name

○       Assigned user

●       Use the Filters to narrow the list by:

○       Status (e.g., show only “Revise & Resubmit” or “Draft” submittals)

○       Project

○       Due Date

○       Assigned Reviewer

Best Practice: Use filters during weekly coordination meetings or quality control checks to quickly surface outstanding or overdue submittals and assign follow-up tasks.
