What are Roles and how to create and edit Roles?

Managing Roles and Security Settings in Contractor Foreman

Managing Roles and security settings in Contractor Foreman is a critical component of maintaining accurate permissions, protecting company data, and ensuring that employees access only the features required for their job responsibilities. Proper Role configuration prevents unauthorized edits, reduces operational risk, and promotes efficient workflows by providing each user with an interface tailored to their function within the organization.

What Are Roles?

Roles in Contractor Foreman define the level of access a user has throughout the system. Each Role determines whether a user can view, create, edit, or delete records across all modules, including Estimates, Projects, Timecards, RFIs, Daily Logs, and more. Roles allow administrators to control permissions at a granular level, ensuring that employees see only what is necessary to perform their assigned duties.

Roles are directly connected to the Directory, where each employee is assigned a specific Role. Once a Role is assigned, all permissions defined in the Role are automatically applied to that user.

Default Roles and Custom Roles

Contractor Foreman includes several preset Roles to help companies begin organizing user access immediately. These defaults cover common operational needs and can be used as-is or modified as needed. Examples include:

  • Administrator – Full access to all modules, system settings, and account configuration. Administrators can manage users, roles, numbering, and all advanced settings.
  • Project Manager – Access to project-specific modules, scheduling, files, tasks, and project workflow tools without requiring visibility into company-wide financial settings.
  • Estimator – Access to Estimates, Proposals, Cost Codes, and financial modules necessary for bidding and cost planning, without visibility into unrelated operational modules.
  • Technician / Field User – Limited to field-entry modules such as Daily Logs, Timecards, Safety Forms, and Tasks, without administrative or financial permissions.

Beyond default options, companies may create custom Roles to fit unique operational structures.
