Tracking all the payments made by your company for a specific project is crucial to ensure financial transparency and proper accounting of expenses. Contractor Foreman allows you to easily track payments made to vendors, subcontractors, and other expenses related to a project. Additionally, you can monitor labor costs from employee timecards.

To get an overview of the total actual costs spent on the project, go to the Projects module from the main menu and select the relevant project. Once inside the project, go to the Summary tab. In the Work in Progress (WIP) section, you’ll see a summary of the total actual costs for the project.

This includes payments made to vendors and subcontractors, expenses recorded, and time card costs for employees and contractors. This gives a high-level overview of where your money is going for the project.

Detailed Payment Tracking

To track specific payments made by your company to vendors or subcontractors for a project, go to the Financials tab from the left panel. Inside the Financials tab, you will see a section that lists all the bills.

For each Bill record, you can see:

Total Bill: The total amount owed for that specific bill.
Balance Due: How much is still unpaid, if any.

The total amount shown on top represents what you have been already charged by Vendor or Subcontractors, in other words the summary of all your Bills.

This section is particularly useful for tracking payments made to vendors and subcontractors. It keeps a running record of all the payments associated with each bill in the project.

Scroll down below the Bills section, and you’ll find a list of all Expenses recorded for the project.

Expenses might include several related project expenses that have been paid by your company.

To track labor costs for the project, on the left panel of the project, navigate to the Time tab. Here, you’ll see a summary of the total hours worked on the project, along with the total cost associated with those time records.

Timecard costs include labor costs for both employees and contractors, based on the rates set in their profiles.(Click here to see how labor costs are calculated from time cards)

The Summary tab gives you an overall snapshot of the project’s Work In Progress (WIP), including payments and costs related to vendors, subcontractors, expenses, and timecards.

The Financials tab provides detailed information about payments made to vendors or subcontractors through the bills section and recorded expenses.

The Time tab provides a breakdown of labor costs based on timecards submitted by employees.
